Reinvigorate Internal Communications with an Upgraded Email System

When I started in corporate communications, one of my first goals was to improve our email system. At the time, my team was creating image based emails that were sent to our IT department to distribute. Many issues had come up where the images would be blown up and pixelated on computers. It was also a very inefficient system where it took hours for an email to go out.

We needed an email platform that could help streamline this process and produce better quality emails. Our sales team was already using Pardot so we worked with them to set up a shared account. Next I developed multiple templates that my team members could use to quickly create emails. The templates used Pardot’s content regions to make it easy for someone without coding knowledge to insert content. The templates were also coded to be responsive to mobile screens and flexible enough to work on every major email client.

Once all the templates had been set up and a process put in place, our turnaround time improved significantly. Instead of taking an entire work day to send out an email blast, we were able to set one up in less than an hour. This was immensely helpful when we had emergency communications.

We also now had the ability to see the analytics of our emails and create campaigns that focused on open rates and clicks. This worked great when we needed employees to watch a presentation or take a compliance test.

Overall, I was very pleased with how this project turned out. We increased employee engagement and made our department much more efficient, giving us time to focus on new initiatives.
